Job Description:

We are looking for a highly organized and client-focused Document Specialist to manage the collection, review, and organization of client documents for immigration, study permit, visitor visa, and international education applications. The Document Specialist serves as the primary point of contact for assigned clients, ensuring smooth communication, proper document handling, and timely submission of requirements.

Key Responsibilities:

  • Collect, organize, and review client documents for immigration and international student applications.
  • Provide clients with clear document checklists, submission instructions, and guidance throughout the application process.
  • Serve as the main point of contact for assigned clients, maintaining professional and timely communication through email, phone, and messaging platforms.
  • Ensure all submitted documents are complete, accurate, updated, and properly formatted before endorsement for processing.
  • Follow up with clients regarding missing, expired, or incomplete documents to avoid delays in application timelines.
  • Maintain organized digital and physical client records while ensuring confidentiality and data protection.
  • Coordinate with consultants, admissions teams, and processing officers to ensure smooth workflow and case progression.
  • Monitor application timelines and assist in maintaining efficient processing standards.
  • Assist clients in understanding procedural requirements, submission methods, and document quality expectations.
  • Maintain professionalism and empathy when dealing with clients from diverse cultural and educational backgrounds.
Qualifications:

  • Strong organizational and administrative skills.
  • Excellent communication and customer service abilities.
  • Ability to manage multiple client files and deadlines simultaneously.
  • Proficiency in Microsoft Office, Google Workspace, and file management systems.
  • Detail-oriented with strong accuracy in document handling.
  • Previous experience in immigration, international education, office administration, or customer support is an asset.
